Logging Hours
Hour logging in iCORE is done in a weekly form, and timesheets are signed electronically and approved weekly. The timesheet screen is divided into several tabs:
- Timesheets Tab/Timeliste: The main tab used for logging hours.
- Search Tab/Søk: Available only to those who can log hours on behalf of others. Here, you can search and filter results by department, personnel type, etc. You can also define your own workgroups consisting of personnel you regularly log hours for.
- Details Tab/Detaljer: Shows detailed information about each cell in the weekly form, such as whether an hour has been corrected post-approval or transferred to payroll, etc. Corrections will show counter-posts and any corrections in red and blue text, respectively.
- Settings Tab/Innstillinger: Personal settings for hour logging. Here you can select your default rotation, the appearance of the timesheet, etc.
- Annual Work Tab/Årsverk: Shows hours to date for the current year, planned hours for the rest of the year, and a forecast for the year. If the tab is yellow or red, it indicates a moderate or high probability that the person's annual work will deviate from the norm, positively or negatively.
- Overtime Tab/Overtid: Shows logged overtime, calculated overtime hours according to the Working Environment Act (AML), and calculated AML violations over the past 52 weeks. Managers and administration can view overtime for all employees, while others can only see their own overtime hours.
At the top of the timesheet screen are buttons for Print/Utskrift, Payroll/Lønn, and Report/Rapport. These are used for printing the timesheet, viewing payroll types derived from the logged time types, and reporting hours for a selected period.
Note that this report comes in Excel format, so you must open it on a PC with Microsoft Excel installed.
Timekeeping, Verification, and Approval
When you record your hours, they are first sent to the Project Managers for the relevant projects. The Project Managers review and confirm that you have worked on their projects and then verify the entries. The timesheets are then forwarded to the Department Manager, who reviews them to ensure everything is accurate before granting final approval.
To verify and approve hours, we as project and department managers need to know how the hours were spent. While some may have a clear overview of their team’s activities in mind, others (myself included) rely on your input regarding how the hours were used. This is particularly important for "umbrella projects" like "3 - Engineering," internal training, and similar categories, which are more prone to vague entries.
Many of you already make great use of the comments field, and this is incredibly helpful for us when approving hours. Clear descriptions such as "Department meeting," "Landax training course," or "Work on drawings" can make the difference between automatic approval and needing to follow up for clarification.
